How to Switch to Praxis
Starting without another system? You can create your firm and first case directly. Already using a legal practice management tool? We plan the transfer around your real export, run it in a separate staging firm, reconcile the result, and only then schedule cutover.
Two onboarding paths. New practices can start cleanly without an import. Existing practices get a guided migration: source inventory, dry run, mapping review, document and relationship checks, user acceptance, and a rollback-safe go-live.
π Typical Migration Timeline
| Phase | Duration | What Happens |
| 1. Planning | 1 week | Audit your data, export from old system, map fields |
| 2. Import | 1β3 days | Import cases, contacts, documents via Praxis tools |
| 3. Parallel Run | 2 weeks | Run both systems side-by-side for safety |
| 4. Go-Live | 1 day | Switch over, deactivate old subscription |
| 5. Support | 30 days | Our team is available for questions & training |

From Kleos (Wolters Kluwer)
Kleos is a major source platform for Belgian firms, so it is Praxis's first migration priority. The goal is a predictable transfer that preserves case references, contacts, documents, dates, time and financial history, with a reconciliation report before the old system is retired.
Current importer boundary. Praxis currently creates cases from the Dossiers/ folder structure in a Kleos ZIP and contacts from contacten.csv. vCard and iCalendar imports are also available. Kleos documents, relationships, time entries, invoices, permissions and custom fields must still be staged and verified through the managed migration process; they are not yet covered by a one-click claim.
1
Export Your Data from Kleos
- Go to Beheer β Gegevensexport (Admin β Data Export)
- Export Dossiers (Cases) β CSV or Excel
- Export Contacten β CSV
- Export Prestaties (Time entries) β Excel
- Export Facturen (Invoices) β PDF per invoice
- Download Documenten via Kleos Drive or batch export
- Export calendar events via iCal export (.ics file)
2
Map Your Fields
| Kleos Field | Praxis Field | Notes |
| Dossiernummer | Case Number | Direct mapping |
| Dossiertitel | Case Title | Direct mapping |
| Rubriek | Case Type | Map to: civil, commercial, criminal, family, labor, administrative |
| Verantwoordelijke | Assigned Lawyer | Map to Praxis team members |
| Tegenpartij | Opposing Party | Create as contact type "opposing_counsel" |
| Honorarium per uur | Hourly Rate | Set per case or per user default |
3
Import into Praxis
Go to the Import & Export page in Praxis
- Place the exported case folders below
Dossiers/, ZIP the bundle, and upload it. Praxis creates cases from those folder names.
- Include
contacten.csv at the ZIP root when available, or import contacts as vCard (.vcf).
- Import calendar deadlines from an iCalendar (
.ics) export.
- Stage documents, relationships, time entries, invoices and custom fields separately; do not retire Kleos until their counts and links have been reconciled.
Kleos migration acceptance gates
- Inventory: record source counts, export dates, file sizes and hashes.
- Dry run: import into an isolated Praxis staging firm with no client notifications.
- Reconcile: compare cases, contacts, parties, documents, dates, time, invoices and totals; list every skipped or transformed record.
- Review: have the firm validate a representative set of active and archived matters, permissions and search results.
- Cut over: take a final delta export, repeat the verified mapping, retain rollback data, and obtain written sign-off.
A migration is βseamlessβ only when these gates pass for the firm's actual Kleos export. A synthetic fixture alone is not sufficient.
