How to Switch to Praxis

Starting without another system? You can create your firm and first case directly. Already using a legal practice management tool? We plan the transfer around your real export, run it in a separate staging firm, reconcile the result, and only then schedule cutover.

Two onboarding paths. New practices can start cleanly without an import. Existing practices get a guided migration: source inventory, dry run, mapping review, document and relationship checks, user acceptance, and a rollback-safe go-live.

From Kleos (Wolters Kluwer)

Kleos is a major source platform for Belgian firms, so it is Praxis's first migration priority. The goal is a predictable transfer that preserves case references, contacts, documents, dates, time and financial history, with a reconciliation report before the old system is retired.

Current importer boundary. Praxis currently creates cases from the Dossiers/ folder structure in a Kleos ZIP and contacts from contacten.csv. vCard and iCalendar imports are also available. Kleos documents, relationships, time entries, invoices, permissions and custom fields must still be staged and verified through the managed migration process; they are not yet covered by a one-click claim.

Export Your Data from Kleos

Import into Praxis

Go to the Import & Export page in Praxis

  1. Place the exported case folders below Dossiers/, ZIP the bundle, and upload it. Praxis creates cases from those folder names.
  2. Include contacten.csv at the ZIP root when available, or import contacts as vCard (.vcf).
  3. Import calendar deadlines from an iCalendar (.ics) export.
  4. Stage documents, relationships, time entries, invoices and custom fields separately; do not retire Kleos until their counts and links have been reconciled.

Kleos migration acceptance gates

  1. Inventory: record source counts, export dates, file sizes and hashes.
  2. Dry run: import into an isolated Praxis staging firm with no client notifications.
  3. Reconcile: compare cases, contacts, parties, documents, dates, time, invoices and totals; list every skipped or transformed record.
  4. Review: have the firm validate a representative set of active and archived matters, permissions and search results.
  5. Cut over: take a final delta export, repeat the verified mapping, retain rollback data, and obtain written sign-off.

A migration is β€œseamless” only when these gates pass for the firm's actual Kleos export. A synthetic fixture alone is not sufficient.

Cicero LawPack (now often branded Fidura) is widely used in Belgian and Dutch law firms.

  1. Dossiers: Use Cicero's Rapportage module β†’ export to Excel
  2. Contacten: Export address book via Adresboek β†’ Exporteren
  3. Financieel: Export time entries and invoices from the billing module
  4. Documenten: Copy the document tree from Cicero's file storage (typically a network share)
  5. Agenda: Export via iCal or CSV

Import into Praxis

  1. Save Cicero exports as CSV files
  2. Go to the Import & Export page and upload CSV files one module at a time
  3. For contacts, export as vCard (.vcf) if possible β€” Praxis imports these natively
  4. Verify case-contact relationships after import
